Passports

The Town Clerk’s Office is a Certified Passport Acceptance Facility with qualified clerks who can help you with all of your passport needs.  When you have your passport application processed here, you not only receive the finest service, you are also helping to keep Town property taxes among the lowest in Monroe County!  All passport processing fees collected in Henrietta stay in Henrietta, which helps to support the many fine programs and services offered to Henrietta residents and the greater community.

Please schedule an appointment by calling our office at (585) 359-7035.  At that time, we will go over any questions you may have and be sure that you have all the documentation needed to apply for a U.S. Passport.  You do not have to be a Henrietta resident for Passport services.

Hours

Passport Appointments are available Monday through Friday between the hours of 9:30 a.m. and 3:30 p.m.  Please note that an appointment is required.

Processing Time

Routine/Standard processing means you should receive your passport in approximately 4 – 6 weeks.

Expedited processing (for an additional $60 fee) means you should receive your passport in approximately 2 – 3 weeks.

What you need to bring with you

The following list will guide you on what each person will need to bring with them.  Please note that ALL passport applicants must appear in person.

  • Completed Passport Application:

You can pick up Passport Applications in the Town Clerk’s Office Monday – Friday from 9:00 a.m. – 5:00 p.m.  Passport Application forms are also available on the U.S. Department of State’s website at the link below.  Please note that if accessing the form online, you will need to print it out single sided.  Please do NOT sign the application until you are issued the Oath by one of our Acceptance Agents at your appointment.

  • Proof of U.S. Citizenship: (ONE OF THE FOLLOWING)

Birth Certificate with a Raised Seal 
The Birth Certificate must also include a filing date, filed within one year of birth date and a County Registrar’s signature. All birth certificates submitted for both adult and minor passport applications MUST contain the names of the parents.

Naturalization Record 

Previous Passport
If you have had a previous passport, it MUST be included with your Application.

  • Proof of Identity:
    Valid Driver’s License or Official Photo I.D. card.  If your license is from out of state, please furnish an additional form of I.D., including but not limited to school I.D., state-issued I.D., work I.D., or expired driver’s license.
  • Recent Color Photograph:
    You can get your passport photo taken here at the Town Clerk’s Office for $10.00 per applicant.  If you bring a passport photo to the appointment, it must have been taken within the last six (6) months to be considered valid and meet the U.S. Department of State’s photo requirements.
  • Fees:
    Please bring at least one (1) check or money order to be mailed along with your application for the Execution Fee and Optional Expedite Fee, made payable to the U.S. Department of State.  Do not include Execution or Photo Fees with the Application Fee!

    The Execution and Photo Fee(s) are payable to the Town of Henrietta.  We are able to accept cash, check, Visa, MasterCard, Discover, and American Express cards for payment. Please note that there is 2.4% service fee or a minimum of $1.50 service fee for credit and debit card payments.  This service fee is charged by the payment processor, not by the Town of Henrietta.

* The $25 Execution Fee is set by the United States Secretary of State and is the same amount at all Acceptance Facilities.

Minor Passports (Under Age 16)

In addition to the requirements above, in order to accept Minor Passport Applications:

  • The minor must be present at the appointment; and
  • Both parents must be present, along with identification for each, such as a valid Driver’s License or Passport.  If any parent’s license is from out of state, please furnish an additional form of I.D., including but not limited to school I.D., state-issued I.D., work I.D., or expired driver’s license.

 

Special Passport Processing Events

We understand that it can be difficult to find time to come in during our regular office hours for a Passport appointment for yourself or your children, so every few months, we offer a passport processing event outside of our normal business hours.  Please note that all of our special passport events are by appointment only and payment must be in the form of a check or money order.

Passport Renewals

Passports can be renewed BY MAIL if:

  • Your most recently issued passport book and/or card was issued within the last 15 years and if it had a normal 10 year validity;
  • You can submit your most recently issued passport book and/or card if it has not been lost, stolen, mutilated, or damaged;
  • You were at least 16 years old when your most recently issued passport book and/or card was issued;
  • Your name is the same as what’s shown on your most recently issued passport and/or card OR you are able to submit proper documentation to reflect a name change.

Passports issued when an Applicant is under the age of 16 CANNOT BE RENEWED BY MAIL. Please see above for information about setting up an appointment.

What you need to Submit BY MAIL for a Renewal

The following list will guide you on what each person will need to mail in for a Passport Renewal.  Please note that we are NOT able to process Renewal Applications in our office.

  • Completed Passport Renewal Application:

    You can pick up Passport Renewal Applications in the Town Clerk’s Office Monday – Friday from 9:00 a.m. – 5:00 p.m.  Passport Renewal Application forms are also available on the U.S. Department of State’s website at the link below.  Please note that if accessing the form online, you will need to print it out single sidedImportant: You must sign and date the application.  INCOMPLETE SUBMISSIONS WILL DELAY THE PASSPORT ISSUANCE.
  • Most Recent Passport Book and/or Card
    Your previous passport will be returned to you with your new passport.
  • Recent Color Photograph:
    Passport Photos for renewal applications are available Monday through Friday during our regular office hours, 9:00 a.m. to 5:00 p.m., on a walk-in basis (No appointment is required).

    The fee for a passport photo is $10.00 per person.  We are able to accept cash, check, Visa, MasterCard, Discover, and American Express cards for payment. Please note that there is 2.4% service fee or a minimum of $1.50 service fee for credit and debit card payments.  This service fee is charged by the payment processor, not by the Town of Henrietta.
  • Fees:
    The fees must be in the form of a personal check or money order made payable to the U.S. Department of State.  Please include your full name and date of birth on the front of the check or money order.

  • Name Change Documentation (IF APPLICABLE):
    If your name has changed, submit a Marriage Certificate or Certified Transcript of Marriage with a raised seal, divorce decree with a time/date stamp, or court ordered name change paperwork with a time/date stamp. This paperwork will be returned to you.
